Define the trade item before asking the factory to print
Start with the unit a buyer can order, price or invoice: one dumbbell, one pair, a fixed set, one plate or a boxed assortment. Do not begin with a barcode image. A GTIN identifies the trade item, while UPC-A and EAN-13 are barcode symbols that may carry a GTIN for retail scanning. An internal SKU can support your own inventory system, but it does not automatically replace an external identifier required by a retailer, marketplace or distributor.
For a private-label line, the brand owner normally allocates the GTIN even when another factory makes and packs the goods. The brand therefore decides the item hierarchy and supplies approved identifiers and artwork. ChinaFreeWeight can apply buyer-approved files to the agreed packaging; it should not invent a retail number, reuse an unrelated customer number or imply that its company prefix belongs to the buyer.
Build one matrix for weight, unit and market channel
Map every sellable variation before artwork starts. A 10 kg dumbbell and a 12.5 kg dumbbell are distinguishable products when sold separately; a single, pair and full set are also different trade items when buyers order them as such. Color, finish or pack quantity can trigger another identification decision when the market treats the change as a different product. Use the current GS1 management rules and the receiving partner's requirements rather than copying a competitor label.
Keep four fields separate in the master sheet: brand SKU, product description, trade-item identifier and packaging level. Add the weight unit, nominal weight, piece count, color or finish, destination channel and artwork revision. This prevents the common failure where the product is correct but the carton says pair while the warehouse expects one piece, or the same code is placed on two weights that must remain distinct.
Separate retail units, inner packs and master cartons
Separate retail units, inner packs and master cartons
The label on the consumer or sellable unit should identify exactly what is inside. If two dumbbells are sold as one pair, the outer pair package is the sellable item; exposed inner codes must not create a conflicting scan at the point of sale. If individual dumbbells are also sold separately, document both item levels and ask the receiving channel how each code must be presented.
A master carton is a logistics level, not merely a larger copy of the retail label. When the carton is ordered, priced or invoiced as a trade item, it may need its own identification. It also needs plain-language data that operations can reconcile, such as product reference, weight, unit count and handling marks requested by the buyer. Pallet or carrier labels belong to another workflow. Confirm the hierarchy with the brand's GS1 organization, retailer and 3PL before freezing artwork.
Approve the data file and the printed result
Approve the data file and the printed result
Send the factory a controlled table and final vector artwork, not a screenshot pasted into a chat. The handoff should name the SKU, assigned number, symbol type, printed size, colors, quiet zones, human-readable line, label stock or carton print, placement, packaging level and revision owner. The factory can return a digital proof and a photographed or shipped packaging sample for approval before bulk printing.
A correct number can still fail when printed. Check digit, symbol construction, size, bar height, contrast and quiet zones matter. Keep the symbol away from folds, seams, corners, staples, straps, rough textures, curved transitions and high-glare areas. Scan the actual print on the actual substrate with equipment representative of the intended retail or warehouse environment; a phone camera alone is not a complete acceptance method.
Identification and packaging decision matrix
| Level | Buyer decision | Evidence to approve |
|---|---|---|
| Individual dumbbell or plate | Is one piece sold and replenished separately? | Unique item row, assigned identifier and unit label proof |
| Pair | Is the pair one sellable unit? | Pair count, outer label and treatment of inner codes |
| Fixed set or assortment | Are contents and quantities predefined? | Content list, set identifier and packing diagram |
| Inner pack | Is it scanned or only used for handling? | Warehouse requirement, quantity and label placement |
| Master carton | Is the case ordered, priced or invoiced? | Case identifier decision, count, weight and carton proof |
| Pallet or fulfillment label | Which logistics party controls it? | 3PL, retailer or carrier specification and revision |
Control changes from sample to repeat order
Control changes from sample to repeat order
Freeze the approved product-to-packaging matrix with the sample record. If the brand, declared content, pack quantity or product identity changes, review whether a new GTIN is required before altering the label. Minor graphic work should still carry a new artwork revision so old and new files cannot be mixed. Do not let the factory substitute label stock, scale the symbol to fit a smaller panel or move it across a seam without written approval.
For repeat orders, reconcile the purchase order, artwork revision, SKU list and carton packing list before production. During pre-shipment inspection, sample across weights and packaging levels, compare the human-readable number with the approved file, scan the symbol, and confirm that carton contents match the label. Quarantine mismatched or unreadable labels instead of covering the issue with an uncontrolled second sticker.
Write the RFQ so ownership and evidence are clear
Write the RFQ so ownership and evidence are clear
Tell the supplier who owns the brand, who allocates the identifiers and which party approves artwork. Include the selling markets, channels, full weight range, single/pair/set logic, pack hierarchy, language needs, label application method, master-carton data, proof requirement and receiving scan environment. Retailer routing labels, marketplace fulfillment labels and legal product declarations can change by channel, so they should be confirmed by the buyer with the responsible platform or adviser.
ChinaFreeWeight is a factory for dumbbells, weight plates and related free weights. We can review OEM, ODM, Custom Logo, Private Label and Bulk Supply packaging against an approved buyer matrix, then coordinate sample proof, print placement and shipment checks for the selected model. We do not claim ownership of a buyer's GTIN or guarantee acceptance by a retailer that has not reviewed the final item setup.
Run a receiving rehearsal before the first shipment
Run a receiving rehearsal before the first shipment
Give the approved sample and item matrix to the team that will create listings, receive cartons and book stock. Ask them to scan the sellable unit and the case in the same sequence they will use operationally. A rehearsal can expose a valid symbol attached to the wrong packaging level, a pair registered as one piece, or a carton description that does not match the purchase order.
Record who performed the check, which file revision and scanner were used, and what each scan returned. This is operational evidence for the identified shipment, not a permanent guarantee. If the channel changes, repeat the handoff against its current specification before releasing another packaging run.

Private-Label GTIN and Barcode FAQ
Should the factory create the UPC or EAN for my private-label weights?
The private-label brand owner normally allocates the GTIN and sends the approved number and artwork. The factory can print and apply that controlled file.
Does every dumbbell weight need a different GTIN?
When weights are sold as distinct trade items, keep them as separate item records and apply the current GS1 allocation rules. Confirm the final hierarchy with the relevant GS1 organization and sales channel.
Can one code cover a single dumbbell, a pair and a set?
Do not assume so. They represent different contents and may be separately ordered or priced, so define each trade item before assigning identifiers.
Is an internal SKU the same as a GTIN?
No. A SKU is controlled inside a business. A GTIN is a standardized trade-item identifier used across supply-chain partners; the two can be mapped but should not be confused.
What can ChinaFreeWeight verify before shipment?
For an approved model and buyer-supplied file, the factory can coordinate artwork revision, placement, print appearance, code-to-SKU comparison, scan checks and carton-content reconciliation. Channel acceptance remains the buyer's responsibility.
Send a controlled item and packaging matrix
Share the weight range, single or pair logic, assigned identifiers, artwork revision, carton hierarchy and destination channel so the factory team can review an OEM packaging brief without guessing the data. Request a packaging review.
